Terms & Conditions

The following terms and conditions ("Terms and Conditions") shall apply to each invitee that accepts an invitation to speak ("Speaker") at WSO2Con North America 2026, to be held from May 20th - 22nd, in Austin, Texas, USA ("Conference​") as well as all Conference related events and interactions; acceptance of an invitation to speak at the Conference shall be deemed to be acceptance of these Terms and Conditions:

  1. The Speaker shall present either a talk, a keynote address, or form part of a panel discussion, as specified in the invitation for the specified time period at the Conference.
  2. Right to Use Speaker Material. The Speaker hereby grants to WSO2 worldwide, perpetual, irrevocable, royalty-free, transferable, and unrestricted rights pre and post Conference to the below:
    • The Speaker’s name, image, any content shared (including without limitation any audio and video recordings, presentations), and resume.
    • The name, logo, and information related to the Speaker’s employer for marketing and promotion purposes related to the Conference.
    • Handouts, other printed or electronic materials that are used or published by the Speaker in the presentation, to be published in edited form as part of the documentation.
    • Use, market, publish, display, edit and distribute the presentation and the materials used at the conference (audio/video).
    • To use the Speaker’s photos and resume for advertising and promotional purposes.
  3. Speaker Personal Data. The Speaker expressly consents to WSO2 using the Speaker’s personal data such as name, designation, resume, image of themselves (which includes photograph, voice recording and/ or video) in publicity and marketing materials as WSO2 may determine in its discretion for its marketing and publicity purposes such as its newsletters, website, and YouTube channel.
  4. The Speaker warrants that any content shared at the Conference is either created by and owned exclusively by the Speaker or used with the express written consent of the relevant owner, in compliance with applicable agreements and laws. The Speaker indemnifies WSO2 against any and all losses, claims, settlements, liabilities, penalties, or damages of any kind arising as a result of any content shared by the Speaker pursuant to the Conference.
  5. The Speaker named in the invitation shall be entitled to a non transferable free pass for the Conference. The speaking engagement contracted via these terms and conditions is personal to the Speaker and cannot be transferred to anyone else without WSO2’s prior written consent.
  6. In order to accept the invitation and register for the Conference, the Speaker must use the unique promotional code ("Promo Code​") given at the point of confirmation and register at the Conference website at https://wso2.com/wso2con/2026/north-america. The Promo Code shall only be used by the Speaker specifically named in the invitation and is non-transferable.
  7. In the event the Speaker is not currently residing in Austin, USA in which the Conference is held, such Speaker shall be eligible to receive:
    • Return air ticket on Economy Class unless a prior discussion about an upgrade has taken place.
    • Complimentary accommodation for up to three-night stay on room only basis from May 19th (check-in) to May 22nd (check-out) at the same venue as the Conference.
    • A free pass to attend all three days of the conference including the conference networking events and party hosted within the conference dates (May 20 - 22, 2026).
  8. The benefits mentioned above will only be applicable to a single Speaker of the presentation session, who has been personally named in the invitation extended by WSO2. A party brought by the Speaker to support the Speaker’s presentation (that is, a co-speaker) will only receive a free pass to attend all three days of the Conference and the cost of travel, accommodation and any other matters will have to be borne by the co-speaker. The Speaker will only be allowed to bring a maximum of one co-speaker to provide any needed support.
  9. All arrangements concerning travel and accommodation provided to the Speaker shall be made at WSO2’s sole discretion.
  10. Speakers currently residing in Austin, Texas, USA in which the Conference is held shall be entitled to receive only a free pass to attend all three days of the Conference as detailed above, unless otherwise notified by WSO2.
  11. Any costs or expenses incurred with respect to the Conference, other than the benefits specifically stated Section 7 above, shall be exclusively borne by the Speaker. WSO2 undertakes no responsibility in connection with such other costs and expenses, including (without limitation), visa fees, cost of passports, domestic travel, airport transfer, all of which must be borne by the Speaker. WSO2 shall only be responsible for providing a visa invitation letter, if required.
  12. The Speaker must provide WSO2 with at least twenty eight (28) days prior written notice (counted from the start date of the Conference) to cancel the speaking engagement after the Speaker has confirmed attendance. If at the point of cancellation, WSO2 has already incurred any costs in relation to the Speaker’s engagement, a cancellation charge equal to that of the relevant costs (including travel and accommodation) will be payable by the Speaker on demand to WSO2.
  13. WSO2 reserves the right to make changes to Conference dates and locations at its discretion. WSO2 will use reasonable efforts to provide the Speaker with notice of such change(s) as far in advance of the Conference as possible. If WSO2 cancels (and does not reschedule) the Conference, WSO2’s sole responsibility to the Speaker will be to notify the Speaker of such cancellation. The Speaker shall not be entitled to any benefits in the event of cancellation by WSO2, including the travel and accommodation benefits detailed above, unless the Conference is canceled after the Speaker has arrived from outside Austin, United States in which case WSO2 shall bear the full cost of return airfare and accommodation. Such costs and related arrangements shall be handled at WSO2’s discretion.
  14. WSO2 further reserves the exclusive right to make changes to the dates/times/type of speaking engagement/ duration of speaking engagement or location of the respective Speaker’s engagement or, in the event of what WSO2 reasonably deems to be extenuating circumstances, withdraw an invitation to speak at the Conference at its sole discretion.
  15. Unless expressly agreed otherwise, WSO2 reserves the right to use, distribute, edit and/or make available on its website, its social media platforms or any other medium/forum owned by WSO2, all video, audio, and other recordings of any or all content shared by the Speaker at the Conference, including without limitation the Speaker’s presentation, and any content shared in a panel discussion.
  16. A Conference speaking engagement shall not create a relationship of either employer and employee or of principal and agent between WSO2 and the Speaker.
  17. The views expressed by any Speaker at any time at the Conference shall be deemed to be the Speaker’s own views and WSO2 undertakes no responsibility, and provides no warranty, express or implied, with regards to the content, accuracy or reliability thereof.
  18. The Speaker shall ensure that all content shared by the Speaker complies with applicable laws and does not offend public sensibilities. Accordingly, the Speaker shall ensure that no content that may be construed as discriminatory, promoting violence, political preferences, the use of banned or controlled drugs and substances.
  19. The Speaker shall share the Speaker content including but not limiting to talk slides, presentations etc with WSO2 prior to seven (7) days of the Conference.
  20. All arrangements for travel, accommodation and any other services provided to the Speaker pursuant to these Terms and Conditions are made upon the express condition that WSO2 LLC, its affiliates, subsidiaries, its directors, officers, agents, employees and attorneys and any other person or entity associated with the Conference ("WSO2 Personnel​") shall not be liable for any direct, indirect, consequential or incidental damage, claim, loss or expense of any kind, including those arising due to injury caused by accident, loss of baggage, flight delays, strikes, acts of God, acts of terrorism, war, quarantine, criminal activity or irregularity of any kind occasioned by reason of any act or omission beyond its control ("Losses​"); and WSO2 Personnel shall not be liable for any Losses incurred by any person attending the Conference and/or using the benefits granted through the invitation.
  21. These Terms and Conditions shall be governed by the laws of California excluding its conflicts of laws principles. Any dispute relating to these Terms and Conditions shall be determined and settled by arbitration in Santa Clara, California, in accordance with the rules of the American Arbitration Association (“AAA”). The arbitral award shall be final and binding.
